Precision Medical has extensive experience migrating existing instrument tracking databases into our CSSD software, including like-for-like conversions from systems such as TrayBax, T-Doc and CensiTrac. Our team works with your nominated data liaison to collect, review and transfer your existing information into MaQS, helping preserve the valuable work your team has already completed. 

If transitioning from a paper-based system, we can convert all file types, including PDF, Word, Excel, or a combination of all!

Complete instrument traceability: MaQS tracks trays, sets and individually marked instruments throughout the reprocessing journey, including decontamination, inspection, packing, sterilisation, storage and use. Each scan contributes to a time-stamped audit trail, allowing staff to check an item’s status and history when needed. 

Designed around AS/NZS 5369:2023: MaQS supports workflows aligned with the Australian and New Zealand requirements for the reprocessing of reusable medical devices. Tracking checkpoints and non-conformance recording help staff follow established procedures, identify issues and maintain consistent reprocessing practices. 

Digital sterilisation records: MaQS can integrate with washers, sterilisers and high-level disinfectors to capture processing parameters and associate them with the relevant batch. This provides a digital record to support the review and release of processed items. Where a cycle issue occurs, staff can use the associated records to help identify affected batches. 

Endoscope and loan set tracking: MaQS extends traceability beyond traditional instrument sets, with dedicated tracking for flexible endoscopes and supplier loan sets. This helps staff access reprocessing histories and verify that required processing steps have been recorded before items are made available for use. 

Faster patient recalls: MaQS links instrument sets and tracked items to patient procedures, supporting the identification of patients associated with a particular batch or load when a recall or investigation is required. Integration with hospital systems: MaQS can integrate with Patient Administration Systems (PAS) and Electronic Medical Records (EMR) using HL7, allowing patient details to be transferred automatically and reducing manual data entry. MaQS training is designed to fit around the demands of a busy healthcare environment while giving your team the skills and confidence to use the system effectively. We use a train-the-trainer approach, helping your hospital develop lasting in-house expertise to support ongoing learning and new staff onboarding. 

Training begins with nominated superusers and trainers, with short, focused remote sessions delivered in small groups via Microsoft Teams. Our trainers then attend your site for go-live, providing hands-on training and support as staff begin using MaQS in their day-to-day roles. General users can also access self-paced learning through the MaQS Online Training Portal. 

Training is tailored to your hospital’s workflows and the MaQS modules being implemented, ensuring staff receive relevant, role-specific guidance. 

Training covers the workflows relevant to each department, including: 

Decontamination: Receiving used instruments, identifying special cleaning requirements, managing washer loads, recording equipment maintenance and testing, releasing loads, and reporting non-conformances. 

CSSD: Verifying instrument data, creating and maintaining packs, managing loan sets and repairs, packing instruments, printing labels, loading sterilisers, releasing loads and tracking items through the Journey Board. 

Theatres: Scanning instruments and trays to patients, completing pre-allocation and post-procedure steps, and locating items using the Where Is tool. 

Endoscopy: Setting up scope, equipment and cycle data, tracking scopes through cleaning, high-level disinfection and storage, and recording scopes against patients. 

Inventory management and preference cards: Managing product catalogues, stores and preference cards, as well as stock management, purchase orders, stocktakes, digital picking slips and scanning consumables to patients. 

Superusers receive additional training in the management of MaQS data, including instruments, trays, equipment and system settings. Nominated trainers learn how to guide other staff through the relevant workflows, helping your hospital maintain its knowledge and training capabilities long after go-live.

Initiation & Planning: Your dedicated Precision Medical Project Manager works with your hospital project team to establish timelines, confirm business requirements and define key milestones. This includes reviewing workflows, planning the technical requirements for hospital system integration, confirming hardware needs and preparing for data migration. 

Data Collection & Migration: Your appointed hospital data liaison works with Precision Medical’s data team to collect, review and validate the information required to build your MaQS database. We have experience migrating data from existing tracking systems, including TrayBax, CensiTrac and T-Doc, helping preserve your existing data throughout the transition. 

Hospital System Integration & Hardware Procurement: MaQS is designed to work within your existing hospital environment, integrating with legacy Patient Administration Systems (PAS) and compatible processing equipment to support connected workflows and data exchange. 

Precision Medical coordinates the supply of MaQS hardware, including Bluetooth scanners, Zebra label printers and associated consumables. Your hospital is responsible for procuring PCs, touch-screen computers, paper printers, brackets, cabling and networking infrastructure. Our team can provide guidance to assist with your internal procurement requirements. 

Training & Validation: Our CSSD software roll-out and Instrument Tracking Software Implementation process includes a structured training plan tailored to your organisation. Training includes remote sessions, self-paced online learning and on-site instruction. 

Before go-live, the project team validates the system configuration, relevant integrations, hardware and workflows to help ensure MaQS is ready for operational use. 

Go-Live & On-Site Support: Precision Medical trainers attend your site to support the transition to MaQS. This includes final IT validation, train-the-trainer sessions, additional staff training and hands-on go-live support.

Yes! MaQS integrates with all equipment providers including Atherton, Belimed, Steelco, STERIS, Soluscope, Getinge, STERRAD, Wassenburg, Matachana, BMM Weston, Olympus and more. 

Through equipment integration, MaQS can capture processing data and save a digital copy of the processing parameters directly against each batch within the system. This gives your CSSD team convenient access to processing records alongside your instrument tracking data, supporting traceability, documentation and audit readiness. 

By connecting your processing equipment with your CSSD instrument tracking software, MaQS helps reduce manual record-keeping and brings essential processing information together in one central system. 

Yes. MaQS is designed to integrate with your hospital’s existing systems, with successful implementations across hospitals in Australia and New Zealand. Using HL7, the healthcare industry standard for exchanging clinical information, MaQS can connect through your hospital’s existing interface engine. Our team works closely with your IT department to coordinate the integration and ensure everything runs smoothly. 

Patient Administration Systems (PAS): Patient details, including name, date of birth and medical record number (MRN), can be transferred into MaQS automatically when a patient is admitted. Staff can simply scan or enter the patient ID, reducing manual data entry and helping ensure instruments are recorded against the correct patient. 

Electronic Medical Records (EMR): MaQS can send details of the instruments, trays and consumables used during a procedure back to the patient’s EMR. This helps maintain a complete record of items used, without the need for additional manual documentation. 

Finance and supply systems: For hospitals using MaQS Inventory Management, integrations with finance and enterprise resource planning (ERP) systems, such as Oracle and Finance One, help keep product and pricing information up to date and automate the transfer of replenishment orders. 

Sterilisers and washers: MaQS can capture processing cycle results digitally and associate them with the relevant instrument batch. This can be achieved through direct equipment integration or MaQS’s built-in cycle data capture, reducing reliance on paper-based processing records. 

Windows authentication: MaQS can support authentication using your staff’s existing Windows login credentials, reducing the need for separate usernames and passwords and simplifying access for users. 

 

MaQS is designed to work within existing hospital IT environments, with flexible hosting options to suit your organisation’s infrastructure and preferences. 

Key requirements and considerations include: 

Server and hosting: MaQS can be hosted on your organisation’s existing on-premises infrastructure or a cloud-based server. 

Workstations and network access: Compatible Windows PCs or terminals, reliable network connectivity and appropriate access permissions are required. 

Scanning and printing equipment: Network-connected label printers and compatible barcode scanners are required, depending on your workflows. Wireless handheld scanners can also be supported. 

Database and backups: MaQS uses a Microsoft SQL database. Your IT team will need to account for database management, backups and ongoing maintenance. 

System integrations: Additional planning may be required if MaQS is to connect with hospital systems, patient administration systems or processing equipment. 

Implementation and IT support: Your IT team will need to coordinate installation, access permissions and any required network configuration with Precision Medical.

MaQS pricing is tailored to each healthcare organisation, with costs depending on factors such as hospital size, selected modules, integration requirements, and hardware and software needs. 

To support different procurement and budgeting requirements, Precision Medical also offers a $0 upfront option, which can help hospitals reduce initial capital expenditure (CAPEX) when implementing MaQS. This option is subject to specific terms and conditions outlined in the End User Licence Agreement (EULA).
